Job Description

We are seeking a highly organized, proactive, and professional Administrative Assistant to support senior leadership within a growing organization. This position serves as a key partner to executive and departmental leaders, providing confidential administrative support while helping drive efficiency, communication, and day-to-day operations.

  • Schedule: Monday-Friday, 8:00 AM-5:00 PM (flexibility available)
  • Location: Bloomington, MN - 100% onsite
  • Employment Type: Direct hire with full benefits
  • Compensation: $55,000-$68,000 per year, based on experience

Key Responsibilities

  • Provide high-level administrative support to senior leadership and department heads.
  • Manage complex calendars, schedules, meetings, and priorities for multiple leaders.
  • Draft, edit, and proofread correspondence, reports, presentations, and business documents.
  • Research, gather, and organize information to support business initiatives and leadership decision-making.
  • Create and maintain professional presentations, reports, and spreadsheets using Microsoft Office applications.
  • Coordinate activities and communication among leadership team members to maximize productivity and efficiency.
  • Arrange detailed travel schedules and process expense reports.
  • Successfully manage multiple priorities and deadlines in a fast-paced environment.
  • Organize meetings, agendas, and communications while helping leaders prioritize requests and commitments.
  • Assist with company events, meetings, employee functions, and special projects.
  • Review contracts and other business documents for completeness and routing.
  • Prepare recurring leadership reports and maintain reporting schedules.
  • Generate weekly business updates, schedules, and recap reports.
  • Provide backup office support and assist other departments as needed.
  • Perform additional administrative duties and special projects as assigned.

Requirements

  • 4+ years of experience providing administrative support to multiple leaders or departments is required.
  • High school diploma or equivalent required; bachelor's degree preferred.
  • Current Notary Public certification or willingness to obtain certification.
  • Previous experience within the architecture, engineering, construction, or related industries is a plus.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proven ability to work independently, meet deadlines, and adapt to changing priorities.
  • High attention to detail and commitment to accuracy.
  • Demonstrated professionalism, integrity, and collaborative approach.
  • Flexibility to occasionally support business needs outside standard working hours.
